ADMINISTRATIVE ASSISTANT II – OAHU OFFICE
Responsible for the set-up and processing of work orders; processes timesheets; preps post bids; coordinates and schedules recurring service maintenance jobs; assists in providing documents for contracts and other related duties assigned to the Front of the House.
TYPICAL PHYSICAL DEMANDS:
Occasional: walking on un/even ground, walking up and down slopes; climbing up and down stairs, lifting/carrying 1-3 pounds. Constant sitting, repetitive arm/hand motions, seeing, hearing, and speaking. Essential functions: sitting, repetitive arm/hand motions, seeing, hearing, speaking, climbing up and down stairs, and walking on un/even ground.
PRIMARY RESPONSIBILITIES:
- Answers telephone and provides information/assistance or routes caller to appropriate party.
- Receives requests for services and generates work orders through a computer-tracking program and dispatches appropriate employees to the work.
- Interact with customers and clients on a varitey of job related issues including customer complaints. Assists in resolving complaints and other operational logistical problems by adjustung work schedules and manpower assignments.
- Monitors all work assignments for assigned area(s) through an eletronic work order tracking system and follows up on the status of ongoing work.
- Provides assistance and support to field personnel such as contacting and contacting work with customers.
- Coordinates travel assignments for company personnel.
- Coordinates work between the different work groups, such as building services and specialty services crews. Makes scheduling adjustments as necessary to ensure efficient work flow.
- Monitors the preventive maintenance service of company vehicles. Coordinates routing service of company vehicles and tracks on a computer software program.
- Interacts with all team leaders on day-to-day activities to ensure schedules and assignments are on track.
- Schedules, tracks and maintains preventive and corrective maintenance repair for water systems, distribution sytstems, services and devices.
- Recieves employee time sheets and pre-audits prior to submittal to payroll.
MINIMUM REQUIREMENTS/QUALIFICATIONS:
A. Education:
- High School diploma, GED, or the equivalent of a GED.
B. Experience:
- At least 1 year of related work experience.
- Working knowledge and/or skill in word processing, spread sheets and other computer applications.
- Good written and oral communication skills.
- Able to meet deadline
